Privacy Policy

Last updated: April 10, 2026

HopeKey Homes (“we,” “us”) respects your privacy. This policy describes how we collect, use, store, and protect personal information when you use our website and services, including landlord tools that may hold property, tenancy, and tax-support records. This policy is provided for transparency; it is not legal advice. If you need advice about your obligations, consult a qualified professional.

1. Who this applies to

This policy applies to visitors to hopekeyhomes.ca and users of our services, including landlords and clients who interact with the platform. Different features may collect different types of information.

2. Information we may collect

  • Account and contact data — such as name, email, and authentication identifiers when you register or sign in.
  • Portfolio and operational data — property details, clients or tenancies, rent and expense entries you enter in the landlord dashboard.
  • Documents you upload — for example receipts, leases, bank or deposit records, or other files you choose to attach for your records or for features that merge documents into an export. These may contain personal information about you or third parties (such as tenants).
  • Technical data — such as IP address, device/browser type, and logs needed to operate and secure the service.

3. How we use information

We use personal information to:

  • Provide, maintain, and improve the services you request;
  • Authenticate users and enforce access controls (e.g. limiting landlord data to the correct account);
  • Generate in-app summaries and exports you initiate (such as merged PDFs from files you stored);
  • Communicate with you about the service, support, or legal requirements;
  • Detect abuse, fraud, and security issues; comply with applicable law.

4. Legal basis and consent (Canada)

We collect, use, and disclose personal information in accordance with applicable Canadian privacy law, including the federal Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies, and provincial statutes where they apply (for example, in Alberta, the Personal Information Protection Act may apply to certain activities). Depending on the circumstances, we rely on your consent, implied consent where appropriate, or other permitted grounds. You may withdraw consent where withdrawal does not prevent us from fulfilling legal obligations or completing contracted services, subject to reasonable notice.

5. Storage, encryption, and service providers

We use reputable cloud infrastructure to run the service. Data is typically stored with Google Firebase / Google Cloud Platform (including Firestore, Cloud Storage, and related services). Google encrypts customer content at rest using Google-managed keys and protects data in transit using industry-standard TLS when configured correctly. We may use additional subprocessors (e.g. hosting, email); we will describe material changes on this page or by other appropriate means.

Data may be processed or stored outside your province or Canada depending on how Google and other providers operate their networks. By using the service, you acknowledge that cross-border processing may occur subject to contractual and legal safeguards we implement.

6. Retention

We retain personal information only as long as needed for the purposes above, including legal, accounting, or security requirements. You may request deletion of your account or certain data where applicable; some information may be retained where the law requires or where necessary to resolve disputes or enforce our agreements. Backup systems may retain residual copies for a limited period.

7. Security

We implement administrative, technical, and organizational measures appropriate to the sensitivity of the data, including access controls and encryption provided by our infrastructure providers. No method of transmission or storage is 100% secure; you should protect your password and devices.

8. Your rights

Subject to applicable law, you may have the right to access, correct, or delete your personal information, or to challenge our compliance. To make a request, contact us at the email below. We may need to verify your identity before responding.

9. Children

Our services are not directed at children. We do not knowingly collect personal information from children without appropriate parental consent.

10. Changes

We may update this policy from time to time. We will post the revised version with a new “Last updated” date. Continued use of the service after changes constitutes acceptance of the updated policy where permitted by law.
